They just didn't get through it.

Look at what that costs. The customer stalls before they reach any real value, so the product never becomes a habit. Your implementation team hops on another call to walk them through the same steps. Go-live slips past the date in the contract. The "how do I..." tickets stack up. The frustrating part is that you did the work. The content is right there. It just isn't getting the job done.

So the reflex is to go interactive: tooltips, walkthroughs, in-app guides. For a lot of tasks, that's the right call. But it's only half the answer. Sometimes a short, searchable doc beats a guided tour, and forcing the wrong format is what stalls people in the first place. Adoption isn't about which format looks modern. It's about which one helps your customer finish the job in front of them. Interactive wins here for two reasons.

First, it removes the context-switch tax. A static walkthrough makes the user read a step in one window, switch to your product, do it, then switch back to find their place. Every switch is a chance to give up. An interactive guide puts the steps on top of the product, so the user never leaves the workflow.

Second, it's measurable, and documentation isn't. You can see the exact step where users quit. That's not a vanity metric. It's how you fix activation. Alex Tronche at Responsive described his team's old setup: "In general, it's Google Drive and then via email. Sometimes local drives." No version control, and no way to know if anyone finished. Put that same content somewhere instrumented and you can, in his words, "see analytics on how much is being consumed, which learners from that company are watching." That loop is what Trainn's interactive guides and video analytics are built for: guide the doing, then watch where it breaks.

The usual worry is that interactive sounds like more work and needs a developer. It doesn't. There's no engineering, and you're not starting from a blank page. Saurabh Singh at Exevo summed up the bar most teams want: "If the document is ready at 70 to 80%, and some manual intervention is required, that would be helpful for us. We're not expecting perfection from the AI. We're expecting to not start from a blank page." Record the workflow once, and most of the guide builds itself.

When is documentation the better choice?

Reach for documentation when the job is understanding or looking something up: reference, depth, troubleshooting, compliance. For those, a good doc beats a tooltip tour, and it can take the live call off your plate entirely.

Saurabh at Exevo put it plainly: "There's no need for someone from my company to actually walk them through a meeting every time by jumping on a call and walking through the feature. Reference pulled at the moment of need is a different thing. The user has a question, types it into search, gets one precise answer, and leaves happy. Ship a 40-page manual for a task that takes three clicks, and the user bounces before page two. Build a 12-step interactive tour for something they'd rather scan in ten seconds, and they hit "skip" and resent the friction. Same mistake, opposite directions. You're forcing one format onto a job it doesn't fit.

Teams default for understandable reasons. The tooling for the other format is a separate purchase. Nobody on the team edits video. Or it's just how things have always been documented. For implementation and professional-services teams the pull is stronger, because every new customer means another round of content. Alex at Responsive named the cost: his team "finds themselves creating customised training documentation on a fairly regular basis, and that can be somewhat repetitive." When creation hurts that much, you grab whatever is fastest to make, not what's best for the customer's job.

So audit your content against the four jobs.
